Job Overview: 

We are seeking an experienced Property Executive to join our dynamic team based in Dubai. The ideal candidate will provide support to the property management team as well as manage and coordinate the administrative aspects of the office. 

 

Responsibilities: 

Coordination & Support 

  • Liaise and coordinate with the Sales & Leasing Manager to ensure seamless transitions for new or departing tenants 
  • Oversee the collection of rental payments, handling cheque replacements, and tracking bank transfers  
  • Collaborate with the property managers during project periods and after project completion to confirm the Bill of Quantities (BOQ) of building materials before purchase.  
  • Coordinate with the Accounts Manager and Administration Executive to ensure compliance with exit and renewal formalities  
  • Coordinate with the Accounts Manager to ensure timely payment of all property-related bills, including DEWA, maintenance bills, and service charges. 

Documentation, Compliance & Control 

  • Follow SOPs when tenants vacate or renew, including collecting balances and documents for the forthcoming year or settling by collecting DEWA bills, maintenance bills, and property inspections of the designated properties 
  • Oversee the maintenance of properties through the assigned and approved maintenance company, ensuring high standards of upkeep.  
  • Compile and maintain move-in and move-out reports 
  • Ensure adherence to Management-set properties leasing SOP procedures before requesting approvals for new or renewal tenancy contracts. 
  • Coordinate with the Administration Executive and Accounts Manager on Tenancy Contracts, Ejari Certificates, and other required documentation. 
  • Manage the assigned property maintenance with the assigned servicing team/company, prepare up-to-date snag lists/reports, and ensure all quotations are approved by the property managers and the Managing Director before proceeding with work. 

Market Analysis & Feedback 

  • Keep property managers informed of tenant feedback and market trends to assist in evaluating renewal rates and making strategic decisions. 
  • Report on occupancy rates, rental achievements, and areas needing improvement on a monthly basis. 

 

Requirements: 

  • Atleast 1 year of experience in commercial and/or residential property management field.  
  • UAE experience is essential to know and understand the Laws and Legislation regarding property including RERA, Dubai Municipality, etc. 
  • Must be able to prepare any property management document related to properties. 
  • Real Estate/facility management background is preferred.  
  • Bachelor’s degree in business, management or administration. 
  • Good communication (written and verbal) and interpersonal skills. 
  • Initiative and ability to think and resolve issues 
  • Having a UAE driving license is required 
  • Excellent communication in English is mandatory while knowing Arabic would be advantageous.
